Scout Troop Records Database V9.07
What's new in version 9.07?
- The Badge Certificate prints using the national certificate with the current SASA branding. It may be printed in economy mode or full colour depending on a flag set under Options.
Functionality
The Scout Troop Records Database software is designed for Troop Scouters in South Africa
to keep and maintain Scout records based on the very latest
Scout Programme. The Microsoft Windows operating system is required.
The software package runs on Windows XP SP2, Windows Vista and Windows 7.
If Microsoft Office 2010 64 bit is installed on your computer, this package will NOT run (so make sure you install Microsoft Office 2010 32 bit).
A 64 bit version of the package will become available at a date still to be determined.
Support for older Microsoft Windows operating systems is not provided.
Data stored
- Personal details including names, addresses, contact details,
telephone numbers, parent details, email addresses and much more.
- Religions, names of Patrols, sports, hobbies, activity
types, activities, signatories for tests, awards, Patrol
Competitions and
- Points categories are highly configurable so that the package
may be tailored to suit a specific Troop.
- Dates on which any test for Advancement Badges, Interest or
Scoutcraft badges and Challenge Awards are kept.
- Dates on which appointments (Second, Patrol Leader, etc)
may be kept.
- Attendance at activities can be recorded.
- Patrol points can be recorded and results easily tallied.
- Historical records of old Scouts are retained.
- Flags to determine whether a badge has been awarded (presented)
to a Scout.
Reports
Many different reports may be printed and are as follows:
- Full report with personal details, Advancement, Interest, Scoutcraft
badges passed, Challenge Award details and Activities per Scout.
- Contact lists with name, address, telephone/cell numbers with
a number of options that may be chosen.
- Birthday list for the current year.
- List of who has passed or not passed a Scoutcraft, Interest
or Advancement badge. Badge Certificates may be printed.
- Statistics to assist with the Group census based on Badge Advancement,
Age profile of Troop and Badges earned in a specified time
interval. Reports on who has not earned a Scoutcraft/Interest
badge and/or an Advancement badge. This could be useful for future
planning to determine who should be targeted for these badges for the Star Awards.
- Advancement Badge progress chart.
- Scoutcraft Interest badge progress chart.
- Activity Attendance - who was present, excused or absent from
an activity which may be a camp, meeting, etc.
- Medical details which may be useful for taking to a camp.
- Patrol competition report in easily interpreted graphical
and tabular detail.
- Contact sheet which may be completed by parents in assisting
the gathering of Scout personal data.
- Reports may be printed for a single Scout, multiple selected
Scouts, a Patrol or all Scouts.
- Reports may be generated in PDF format.
Imports and exports
- Scout personal details and badges passed may be exported
to a CSV file which may then be imported into a reporting tool,
Excel, a database, etc. You may set up your own reports if there
is no standard report that is suitable.
- The entire Scout database can be exported to a zip file
which can then be imported into a MySQL database.
Miscellaneous
- Multiple Scout databases may be kept. This allows for more
than one Troop on the same computer.
- Old Scout data may be imported from any older version of
the software packages.
- Email addresses or cell phone numbers may be retrieved by criteria
(Patrol or all) and copied and pasted into your email or SMS/text client.
- Easy Backup and Restore of data.
- On line help and context sensitive help.
- On startup, an optional window pops up which lists those Scouts
who have not been awarded (presented) with a badge.
This shows Scouts who have not been awarded Advancement, Scoutcraft,
Interest and Challenge badges.
- Users who have an Internet connection established will be notified
automatically when a new version is available.
Installation V9.07 (only if you have never previously installed any version 9 packpage)
Installation is a six step process.
1. If you have previously been running version 8 or earlier and therefore already have Scout records in a database, then make a backup of your existing data to a folder
on your C: drive or better still, to your flash disk.
Use the backup functionality provided in the earlier version of the Scout Troop Records Database.
2. If you made a backup, verify that the backup worked by using Windows Explorer to ensure files were copied to your flash disk as expected.
3. Do not continue if you have not verified your backup.
4. Download and install the Access 2007 runtime
kit (unless you have already done this). Click
here to download. Run AccessRuntime.exe to start the installation.
5. Install the Scout Troop Records Database, click
here to download (13.7MB), unzip to your C: drive and run setup.exe.
6. Run the package by clicking on the desktop icon 'Scout Troop Records Database'. If you have an already existing database from an earlier version
go to File, Import and navigate to your backup folder. The name of the file to import
is one of the below files depending on which version you were previously
running:
- ScoutDat*.mdb OR
- Whatever you renamed the file to be.
Installation V9.07 (only if you are currently running version 9.01/2/3)
Installation is a six step process.

4. Uninstall the old version of Scout Troop Records Database. Do this by going to the Control Panel.
5. Install the Scout Troop Records Database, click
here to download (13.7MB), unzip to your C: drive and run setup.exe.
6. Run the package by clicking on the desktop icon 'Scout Troop Records Database' and
go to File, Import and navigate to your backup folder. The name of the file to import
is one of the below files depending on which version you were previously
running:
- ScoutDat*.accdb OR
- Whatever you renamed the file to be.
Upgrade version 9.04/5/6 to V9.07 (only if you already have V9.04/5/6 installed)
Apply the V9.07 upgrade (2.67MB). Simply
download, run and unzip (make sure the Scout Troop Records Database is not running). You will then be running V9.07.
